BEPC Magazine Management System

This Privacy Policy describes how Telecommunications Consultants India Limited and Bihar Education Project Council (BEPC) collects, uses and protects the information of authorized users of the BEPC Magazine Management System.

This System is an internal, private portal intended for use by authorized employees, contractors,

and partners for the sole purpose of managing and verifying magazine delivery records.

This System is technically developed, hosted, and maintained by Telecommunications Consultants India Ltd. (TCIL) on our behalf.

2. Information We Collect

We collect information that you provide directly to us when you use the System. This collection is limited to what is necessary for the System's function.

  • Account Information: We provide you with a unique Login ID and Password to access the System.
  • Contact Information: We collect the mobile number you provide during the data upload process.
  • Proof of Delivery Data: We collect the digital copies of delivery challans (or similar proofs of delivery) that you upload. This includes all information on the challan itself, such as stamps, dates, signatures, and any other visible details.
  • Usage Metadata: We automatically collect the date and time of your uploads to maintain an accurate log.
  • Technical Log Data: For security and troubleshooting, our servers may automatically log standard technical information, such as your IP address, browser type, and access times.

3. How We Use Your Information

We use the information we collect strictly for internal business and operational purposes. We do not sell, rent, or trade your personal information.

Your information is used to:

  • Provide and Manage Access: Authenticate your login and allow you to use the System's features.
  • Verify Deliveries: Fulfill the core purpose of the System—to maintain a clear, verifiable, and auditable record of magazine deliveries.
  • Internal Record-Keeping: Create a central database for auditing, compliance, financial reconciliation, and internal reporting.
  • Contact You: Use your provided mobile number to communicate with you regarding your submissions, account status, or any issues with the data you have uploaded.
  • Secure and Maintain the System: Monitor for technical issues, prevent fraudulent or unauthorized access, and ensure the security and integrity of our data.

4. How We Share and Disclose Information

Your information is treated as confidential. It is shared only in the following limited circumstances:

  • Internal Access: Information is accessible only to authorized personnel within our organization (e.g., logistics managers, administrators, and finance departments) who require access to perform their job duties.
  • Technology Partner (TCIL): This System is "powered by TCIL." As our data processor and technology partner, TCIL has access to the data solely for the purposes of operating, maintaining, hosting, and securing the System on our behalf. TCIL is contractually and legally obligated to maintain the confidentiality and security of this data and is not permitted to use it for any other purpose.
  • Legal Obligations: We may disclose your information if we are required to do so by law, court order, or in response to a valid request from a governmental or law enforcement authority.

5. Data Security

We and our technology partner, TCIL, implement reasonable administrative, technical, and physical security measures to protect the information you submit from unauthorized access, loss, misuse, or alteration.

  • Access to the System is protected by your confidential Login ID and Password.
  • You are responsible for keeping your login credentials secure and confidential. Do not share them with anyone.

Despite these measures, no method of transmission over the Internet or electronic storage is 100% secure. Therefore, we cannot guarantee its absolute security.

6. Data Retention

We will retain your information, including uploaded challans and associated data, for as long as your account is active and for a period thereafter as necessary to:

  • Fulfill the operational and business purposes for which it was collected.
  • Comply with our legal obligations (e.g., for tax, audit, and legal record-keeping).
  • Resolve disputes and enforce our agreements.

7. Your Rights and Choices

As this is an internal business system, your rights are primarily governed by your employment or contractual agreement with us.

  • Please note that uploaded challans are official business records. They cannot be deleted at a user's request, as they are part of the company's operational and financial history.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will notify you of any significant changes by posting the new policy within the System.
